The work

Part of the same operations restructure. After the leadership change, institutional memory was scattered across drives, inboxes, and the heads of the two people who had been there longest. The brief was to consolidate it into something that answered questions instead of forcing someone to remember where to look.

Scope

  • Procedures, venue contacts, supplier lists, policy documents, and FAQ answers consolidated into a single private assistant
  • Bilingual question handling (English and Spanish), with editorial consistency across both
  • A trained refusal pattern: when the assistant doesn’t know, it says so, instead of guessing
  • Shared between the office’s leads without exposing private documents to anyone outside the organization
